Hyatt Design Services Coordinator – Design Services Greater China, Hyatt Hub Shanghai(Contractor) in SHANGHAI, China

Description:
This position reports to the Regional Vice President Design and Planning Greater China based in the Hyatt Hub Shanghai. You are required to provide administrative support requirements for the Design Services Team.

Key Responsibilities:

ü Organize travel, arrange hotel, meals/entertainment arrangement for departmental meetings

ü Organize and schedule meetings / appointments

ü Maintain information system, i.e., contact lists, intranet

ü Assist in preparing regular reports, i.e., invoicing, calendar, functional reports

ü Liaison with department assistants and handle administrative arrangement

ü Handle office administrative matters;administrative supports include preparation of PowerPoint presentations, report templates, coordination and consolidation works

ü Update Hyatt Connect, a Hyatt’s global intranet site, where applicable

ü Prepare and translate correspondences in Chinese and English

ü Assist to liaise/communicate/coordinate with GMs and Owner's Representatives on regional matters whenever is needed

ü Assist the design, engineering and operational planning teams in their tasks

ü Ability to handle the diverse special projects assigned by the Corporate Vice President of Design Services and Corporate Vice Presidents of the Design Services disciplines

ü Familiarization with the key documents issued by the Design Services

Qualifications:

  • Ability to work under pressure with tight deadlines; time and task management skills
  • Highly motivated, solutions-oriented self-starter with adaptable teamwork style
  • Ability to communicate effectively and connect with colleagues at all levels
  • Ability to work independently to support the administration in multiple functions; attention to details, discretion in handling matters of confidentiality
  • Good command of English and Chinese language skills
  • Good writing and prose skills
  • Savvy computer skills; proficient in MS Office
  • Have administrative and support role experience
  • Ability to multi-task
  • Understand the process of hotel planning, design and construction
  • Have a very good knowledge of world geography
  • Have a clear understanding of languages, cultures, races and religions
  • Hold a strong responsibility on matters of confidentiality
  • Strong team player and organizer with the department
  • Good telephone skills and good social skills
  • Willingness to learn new skills and improve on academic studies carried out
  • Degree of Design fields, Business or Hotel Management
